We are now looking for a Programme Operations Coordinator to join our OAS team and play a key role in delivering an exceptional learner journey.


About the Role

As a Programme Operations Coordinator, you will be at the heart of the learner experience—ensuring our programmes run smoothly, professionally and in line with exceptional standards. You will provide operational coordination across all apprenticeship and training programmes, playing a vital part in learner support, communication, administration and centre operations.

This is a varied, people‑focused role where no two days are the same. You’ll work closely with learners, employers, colleagues and stakeholders to maintain a high‑quality, compliant and learner‑centric environment.


Key Responsibilities

  • Coordinate all on‑programme learners, including progress reviews, data updates, communication and general support.
  • Provide excellent front‑of‑house presence, supporting reception and the smooth running of the training centre.
  • Support health and safety procedures and, where trained, act as Fire Warden, First Aider, Mental Health First Aider or Safeguarding support.
  • Organise and deliver operational aspects of the OAS programmes, including induction preparation and logistics.
  • Manage learner administration, including creation of learner records, data input, certificates and updates in line with ESFA and MTC processes.
  • Deliver day‑to‑day pastoral care, safeguarding support and behavioural management.
  • Collate and report monthly learner progress management information (MI).
  • Support exam processes in line with awarding body and internal requirements.
  • Promote and uphold policies including safeguarding, equality and diversity and anti‑bullying.
  • Work collaboratively with the Curriculum team to provide an outstanding learner journey.

  • Tech‑savvy, comfortable using Microsoft 365 and willing to learn learner management systems.

Essential Requirements:

  • Functional Skills Level 2 or GCSE grade C/4 or above in Maths and English.
  • Strong IT skills and confidence using digital communication tools.

Desirable:

  • Experience working with learners in an education or training environment.
  • Knowledge of e‑portfolios (particularly Smart Assessor).
  • Coaching or IAG qualifications.
